SCOPE OF APPLICATION
The processing concerns:

Competition participants: Anyone who fills out the online registration form at www.impressumphotoaward.it. Participants must be the sole authors of their works.

Users and visitors: Anyone who interacts with the website or visits the physical exhibition in Tolentino.
TYPES OF DATA COLLECTED
The processing concerns:

Identification Data: Name, surname, date of birth, email address.

Photographic Material: Images sent (which may depict the user or third parties).

Metadata: Technical information contained in image files (e.g., camera model, GPS coordinates if not removed).
PURPOSE OF THE PROCESSING
Personal data and submitted works will be processed for:

Competition management: Registration, verification of registration fee payment, management of communications regarding the outcome of the selection process, management of relations with participants and customers (including telephone and email contacts).

Selection and Jury: Anonymous voting on the works by the jury and management of the popular jury for exhibition visitors.

Dissemination and Promotion: Publication of the works (with indication of the author) on the website, in the event catalog, and on the Association's social media channels (Facebook, Instagram, Threads) for cultural and promotional purposes of the competition.

Legal Requirements: Retention of payment receipts and management of the awards ceremony (including cash prizes, shopping vouchers, and overnight stays).

Marketing and Promotion: (subject to explicit consent): Sending documents and communications relating to programming (announcements of future events, sending newsletters, promotion of products related to programs, etc.), conducting surveys and market research, transferring data to cultural partners to benefit from dedicated offers.
LEGAL BASIS
The processing is based on:

Performance of a contract (Art. 6.1.b GDPR): Necessary for participation in the contest and acceptance of the rules.

COPYRIGHT AND LIABILITY

The author declares that he/she owns all rights to the works and that they do not violate the privacy or rights of third parties.

The photos will not be transferred to third parties for commercial purposes unrelated to the competition.

The PH3 Association will use the works, always citing the author.
DATA DESTINATION
The data will not be disclosed to third parties for external marketing purposes.
It will only be accessible to:

IT service providers for website and database management.

Competent authorities in the event of legal obligations.
STORAGE AND SAFETY

The data will be stored for the time necessary to manage the competition, the exhibition, and tax obligations.

The RAW files requested from the finalists will be used exclusively to verify the authenticity and quality of the works.

The photographs may be stored in the organization's historical archive, unless you request their deletion (in accordance with the publication rights granted in the regulations).
